Recruit 360 Jobs database subscription
This is the agreement a workspace accepts in Settings › Billing to open Recruit 360 Jobs job seekers for a flat monthly amount instead of unmask credits. It does not replace the agency terms, the terms of business or the data processing addendum; it adds a mode of access to the Recruit 360 Jobs job-seeker database, and the limits that mode is conditional on. It is not an agreement to share data between agencies: it gives no subscriber access to another agency’s own candidate records. What it opens is Recruit 360 Jobs — the profiles of people who hold a Recruit 360 Jobs account, which includes people who created one when they registered or applied through an agency’s careers page.
1. What the subscription gives the workspace
While the subscription is active, a user of the workspace holding the owner, administrator or consultant role may:
1.1 find Recruit 360 Jobs job seekers in the Talent Finder, as every workspace can;
1.2 open a job seeker’s profile to see their name, contact details and CV, without spending an unmask credit; and
1.3 add a job seeker to the workspace’s own job seekers — a copy of their details and their CV in the workspace’s database — without spending an unmask credit.
1.4 Opening a profile copies nothing and creates no record in the workspace’s database. Adding does, and from the moment a copy exists the workspace is responsible for it under its own privacy notice, retention rules and erasure process, exactly as it is for a candidate who applied to one of its adverts.
2. Term, price and billing
2.1 The term is twelve months from the date of acceptance.
2.2 The price is a flat monthly amount for the workspace, set by its recruiter-seat band at the date of acceptance, at the amount on our published price list for that band — shown in Settings › Billing before the agreement is accepted — or as quoted for a workspace of 25 or more recruiter seats. Amounts are in South African rand and exclude VAT, which is added where it applies.
2.3 It is invoiced monthly — on the workspace’s own subscription invoice where it is billed monthly, and on its own monthly invoice where the workspace pays for its seats annually. Adding or removing seats during the term does not change the amount: the band on the agreement is the band that was agreed.
2.4 The first month is invoiced when the agreement is accepted.
3. Renewal — there is none, unless you ask for one
3.1 The subscription does not renew automatically. We will not charge for a second term that nobody agreed to.
3.2 We email the workspace’s owner and administrators thirty days before the term ends. To continue, an administrator accepts the agreement again in the app, at the band price then in force. A renewed term begins on the day the current one ends, so renewing early never gives up days already paid for.
3.3 If nobody renews, on the last day of the term the workspace returns to unmask credits. Any unspent credit balance remains available; nothing the workspace added to its own job seekers is affected.
4. Acceptable use — the condition of the mode
The subscription exists because a recruiter working a shortlist opens a handful of people a day. It does not exist to hand over a database. The workspace therefore agrees that it will not:
4.1 copy in bulk. Systematically opening or adding profiles in order to assemble a copy of the database, or any material part of it, is a breach — whether done by a person or a tool.
4.2 export. The product offers no bulk export of Recruit 360 Jobs profiles and no API or integration access to them. A person the workspace adds becomes one of its own candidate records and appears in its ordinary candidate exports and connector events like any one of them; the workspace will not use those, or the product’s own screens, to assemble a copy of the database or any material part of it.
4.3 automate access. Scripts, scrapers, browser automation and integrations must not call the pool’s routes. Access is from a signed-in desk session only; API keys and third-party integrations have no access at all.
4.4 share outside the organisation. A job seeker’s details obtained through the subscription are for the workspace’s own recruitment work. Passing them to another agency, a client as a substitute for a submission, or any third party, is a breach.
4.5 exceed the view limits. A user may open at most 40 profiles an hour and 200 a day; a workspace at most 800 a day. CVs are counted separately, at half those figures. The limits are set well above ordinary recruiting; we will raise them for a workspace with a genuine need, on request. Over a limit, that access pauses until the window has passed — the rest of the hour, or the rest of the day — the workspace’s owner and administrators are told, and the incident is recorded.
4.6 Every profile opened is recorded against the user who opened it, with the date and time, and that record is kept as the audit of this clause.
5. What the job seekers are told
5.1 Every job seeker on Recruit 360 Jobs registered on the understanding that agencies and employers on Recruit 360 Jobs can find their profile, that those with authorised access may see their full details in order to talk to them about work, that we email them the first time an agency opens their details, and that they may limit their profile to the agencies they applied to or registered with, or take it out of searches altogether, at any time.
5.2 We therefore send the job seeker an email, once, the first time this workspace opens their details, naming the workspace, to the address on their account. The workspace agrees that this is correct and will not ask us to suppress it.
5.3 A job seeker may also, at any time, restrict their profile to agencies they have applied to or registered with, or take it off the site entirely. When they do, they stop appearing to this workspace. Copies the workspace already holds are unaffected by that choice and remain the workspace’s responsibility — including any erasure request the job seeker makes to the workspace directly.
6. Suspension and ending early
6.1 Where we reasonably believe a clause of section 4 has been breached, we may suspend the subscription. The workspace returns to unmask credits immediately; the agreement is recorded as suspended and the month is not refunded.
6.2 Either party may end the subscription early by agreement. Ending it is an operator action and is recorded.
6.3 On suspension or early ending, copies already in the workspace’s database stay there and stay the workspace’s responsibility. Access to the pool returns to unmask credits.
6.4 Where the workspace’s Recruit 360 subscription itself ends, the pool copies the platform supplied — and only those — are removed under the licence rule in the agency terms.
7. Evidence of acceptance
7.1 We record, for each acceptance: the version of this agreement, the full name typed by the person accepting, their user account, the date and time, and the network address and browser the acceptance came from. A renewal is a new record; the previous one is kept. We keep those records for as long as the workspace exists and for as long afterwards as our retention policy requires.
